Why people go looking
Nobody outgrows Microsoft Forms on volume. They outgrow it on control. The pattern is consistent: a form that started internal now goes to customers, and it still looks like a Microsoft form on a Microsoft URL, with no logo beyond an image swap, no way to charge anyone, and no booking field. On a free personal account there is a second wall at 200 responses per form that surprises people who assumed Forms was unlimited.

If everyone you are collecting from already has a work or school account, we cannot beat that on price and there is no argument to make.
- The tenant plumbing is the real product. Results open in Excel, forms embed in SharePoint, OneNote, Teams tabs, Sway, and PowerPoint, polls run live inside Teams meetings, and Power Automate handles the workflow. None of that exists on our side.
- Governance comes included. Forms can be restricted to your organization or to named users and groups, admins can turn Forms off tenant-wide from the Microsoft 365 admin center, data for European tenants is stored in Europe, and Microsoft states Forms is GDPR compliant and meets FERPA and BAA protection standards. How many responses can a Microsoft Form collect?
It depends on the account. Microsoft's limits page gives up to 200 responses per form for free personal Microsoft accounts, up to 1,000 for paid personal accounts, up to 5,000,000 for Microsoft 365 business and education accounts, and up to 50,000 for GCC High and DoD tenants. All account types get up to 400 forms plus 400 polls, with up to 200 questions per form. Some older Microsoft pages still quote 50,000 for business and education; the current limits page says 5,000,000.
Is Microsoft Forms free?
Yes, with a free personal Microsoft account — capped at 200 responses per form. The higher limits and the tenant features come with a Microsoft 365 licence. Forms is bundled into Microsoft 365 Business Basic, Standard, and Premium, the enterprise and education plans, and consumer Microsoft 365; Business Basic is $7.00 per user per month paid yearly in USD.
Can Microsoft Forms take payments?
