An intake form should prepare a decision
An enquiry form asks whether someone wants your help. An intake form gathers what you need to begin: the project, its constraints, the person making decisions and the materials already available. Combining both into a long first-contact form can ask too much of someone who has not hired you yet.
Start by naming the next action. For a design studio, it might be preparing a kickoff agenda. For a consultant, it might be deciding whether a discovery call is useful. Keep the questions that support that action and move everything else to a later conversation.

Create an eight-question client intake form for a small design agency. Ask for the primary contact name and work email, company website, project type, desired outcome, budget range, target date and existing brand assets. Offer Branding, Website and Both for project type. Use plain, welcoming language. Make the website, date and file upload optional. Explain that this helps us prepare a kickoff discussion; it does not confirm a booking or quote. Add a short welcome and thank-you page.
Use ranges that match your own services. Do not paste passwords, API keys or private client records into a generation prompt.
Review the draft around three practical questions
Can a client answer this without a meeting?
Replace “Describe your brand positioning” with a concrete question such as “What should someone understand about your business after visiting your website?” Keep examples short enough to help without steering the answer.
Will this change how we start?
Budget and timing can affect your next step. Asking for every billing detail before a scope discussion may not. Required fields should represent information you need now, not information that might be useful eventually.
Where do different projects need different paths?
A website project may need an existing URL; a branding project may need a logo upload. Review generated rules and add the branches you need in the Logic panel. Test each path with example answers before sharing the link.
Choose the layout before sending it
Conversational forms keep attention on one question. Single-page forms let a returning client scan the entire request. Document-style forms are useful when the brief needs explanation between questions. The three layouts are available in Zunoform; the current AI composer starts a conversational draft rather than generating a finished document page.
For a document-style brief, create a Document form and arrange its text and fields in the editor. AI generation and document layout are separate capabilities, so choose the route that best fits the intake experience you want.
Set up the handoff yourself
Once the draft is ready, decide who receives it. Google Sheets and Zoho CRM are available on Free; additional native integrations such as Slack, Notion and HubSpot are on Pro and Business. You configure those connections after generation.
If intake includes a payment or appointment, add the relevant field and connect your own Stripe, PayPal, Google Calendar or Outlook account. The AI generator does not create payment or scheduler fields, choose your prices, or connect accounts. Payments require Pro or Business; calendar scheduling is available on Free.
Finish with a specific ending message: what was received, what happens next, and how the client can contact you. Share the published link, use the copy-link action, or embed the form on your website.
Test a complete client journey
- Complete the form with a branding-only project and a website-only project.
- Try the optional fields empty, and verify that required fields reflect real needs.
- Open the form on a phone and check instructions, file requests and the ending page.
- Confirm one test response reaches the intended destination with readable field names.
- Keep an internal owner for follow-up; a successful form submission is not a completed onboarding process.

Is this an AI agent that interviews my clients?
No. Zunoform uses AI to generate a draft for the form owner. Respondents then answer the published questions and configured logic. It does not conduct an open-ended AI interview or automatically write new follow-up questions during a session.
