Client Project Handoff template
A project handoff needs to explain what was delivered and what the receiving team can do next. This form records an inventory of final files, version details, access-transfer owners, training needs and outstanding work. When no walkthrough is needed, it skips the training-detail question and continues to open items.

When to use this template
- Handing a completed website or creative project to the client
- Separating delivered work from unresolved items at closeout
- Transferring ongoing responsibility from an agency to an internal owner
Tips to get more from it
- List final versions and exclusions rather than linking to an unorganized working folder.
- Name account-transfer owners here and perform transfers through the appropriate platform.
- Confirm the support period and contact path instead of assuming the client knows them.
Prepare an inventory the receiver can use
Group deliverables by what the receiving team needs to do. A website handoff may include content editing instructions, design assets, a list of managed services and the location of operating notes. A creative handoff may need final exports and source files with clear naming. Check the agreed scope before presenting the package as complete.
Open the inventory as the receiving person would and confirm access. If an account invitation remains outstanding, record its owner and next step. Do not place passwords or recovery codes in the handoff form; the record should describe the transfer process, not become a credential store.
Make outstanding work and support explicit
A handoff can occur while a clearly agreed item remains open. State the item, responsible person and target date so the receiver can distinguish a known exception from a forgotten deliverable. If scope has changed, settle that through the project's change process rather than hiding it in the handoff notes.
For training, identify tasks the receiver needs to perform, such as changing a service description or exporting an asset. Confirm that those tasks are covered during the walkthrough. Submission of this record does not transfer an account, schedule training or replace final acceptance under the project agreement.
Example response and next steps
Illustrative example, not a real customer submission.
A studio is handing a small business website to its internal marketing coordinator.
- Is a training or walkthrough session needed?
- Yes
- Who needs training and which tasks should it cover?
- The coordinator needs to update service text, replace images and review incoming enquiries.
- Outstanding items with an owner and target date
- The client must accept the analytics invitation before the handoff review next Tuesday.
How to use the response
Keep the invitation item open until the receiver confirms access. Plan the walkthrough around the coordinator's tasks, and link the support instructions in the inventory. A delivered file package alone does not show that the receiver can operate the site.
Before publishing your version
Test both training answers and required fields on the Yes path. Confirm support terms and inventory access with the project owner before sharing the form.
Questions people ask
Does the form transfer account ownership?
No. It records transfer responsibilities. Complete and verify ownership or permission changes within the relevant platforms.
Is a handoff the same as final acceptance?
Not necessarily. This records delivery and open items. Follow the project's agreed acceptance process separately.
Can I use it when no training is needed?
Yes. No skips the training details. The inventory, outstanding work, receiving owner and support details remain in the form.
