Creative Retainer Request template
A creative retainer enquiry needs a picture of recurring demand, not simply a request for unlimited design. This form asks for the types, quantities and sizes of work in a typical month, the person who prioritizes it and the time available for review. It gives an agency enough context to discuss capacity without promising a subscription or turnaround time.

When to use this template
- Assessing fit for recurring creative support
- Replacing repeated one-off requests with a capacity discussion
- Planning for known launch peaks alongside routine production
Tips to get more from it
- Ask for examples of small, ordinary and unusually large requests.
- Keep the budget optional when the client needs help establishing a workable scope.
- Discuss review availability as well as production capacity; work can wait on either side.
Describe demand in work units the team understands
Ten requests can mean ten resized graphics or ten new presentations. Use the typical-month answer to state deliverable types, counts, formats and expected source material. Include occasional peak periods separately so the agency can distinguish normal demand from a launch surge.
Avoid turning the form into a quote calculator without a validated estimation model. The submitted mix is an input for a conversation about capacity, skill requirements and sequencing. A monthly planning budget is not permission to charge the client.
Agree a queue and boundaries before a retainer
Identify one person who orders the queue and consolidates feedback. Discuss what happens when urgent work displaces an existing priority and which tasks need separate specialist support. The form records these needs; it does not reserve staff or provide a project management queue.
Use the review to define included work, exclusions, lead times and how unused or excess capacity will be handled in the actual agreement. Do not imply that submitting this enquiry creates a recurring contract, starts billing or guarantees same-day availability.
Example response and next steps
Illustrative example, not a real customer submission.
A training company needs regular creative support with occasional launch peaks.
- Describe a typical month's work with quantities and sizes
- Eight adaptations of approved social designs and one 12-slide presentation using supplied copy.
- Usual lead time and known peak periods
- Routine requests arrive a week ahead. Two course launches each quarter need additional video editing.
How to use the response
Estimate ordinary adaptation work separately from video production. Confirm whether the agency has the necessary editing capacity and who can prioritize requests when a launch coincides with routine work.
Before publishing your version
Customize service choices to what your team actually delivers. Test a response with no budget and make sure the ending remains an enquiry acknowledgement rather than a subscription confirmation.
Questions people ask
Does this start a retainer subscription?
No. It records an enquiry. Scope, pricing, billing and terms must be agreed separately.
Can clients request unlimited work?
They can describe their expected demand, but the form does not promise unlimited capacity. Use examples and quantities to agree a realistic service arrangement.
How is it different from a one-off creative brief?
A one-off brief scopes a specific project. This form explores recurring demand, queue ownership, peaks and review capacity across periods.
