Donation Pledge template

A donation pledge records an intention to give, not a completed payment. This form collects the proposed amount, currency, timing and preferred designation, then asks whether the team may follow up. It contains no card field, bank-detail request or recurring debit setup.

Tips to get more from it

Separate intention from receipt

Use the pledge response to record what the supporter currently intends. A missing giving date or an unresolved designation is a follow-up question, not evidence that a payment has failed. Keep the original amount, currency and date visible when the team discusses any change.

When payment later arrives through another process, reconcile it against the pledge rather than creating the appearance of two gifts. Maintain separate statuses for pledged, received and unresolved amounts in your own records. This form does not perform that reconciliation or issue acknowledgements automatically.

Set a clear follow-up boundary

Yes reveals an email field for discussing this pledge. No skips it and still allows the response to be recorded. Do not interpret a pledge as general marketing permission or use a preferred giving date as authorization for a charge.

Before sharing the form, explain how people can update their intention and where payment questions should go. If you need to collect money immediately, use the separate donation payment template and configure its provider. A pledge record is not a donation receipt or a statement about tax treatment.

Example response and next steps

Illustrative example, not a real customer submission.

A neighborhood business intends to support a reading program next month.

Intended pledge amount
250
Currency
USD
Preferred program or designation
Reading program materials, if the organization can accept that designation.

How to use the response

Record USD 250 as pledged, review the proposed designation and arrange follow-up only if requested. Do not include it in received-payment totals until a separate payment has been confirmed and reconciled.

Before publishing your version

Test a positive decimal amount and rejection of zero, then test both contact choices. Confirm there is no payment field or automatic receipt promise in your version.

Questions people ask

Does this collect a donation payment?

No. It records an intended gift. Payment collection requires a separate configured payment flow.

Can I promise a tax receipt from this form?

This template does not issue receipts or establish tax treatment. Follow your organization's receipt process after the relevant gift has actually been received.

Can a supporter decline follow-up?

Yes. No skips the email question. The pledge remains a record of intention, and the form does not subscribe the person to updates.
