Tips to get more from it

Agree what counts before asking for totals

Tell volunteers whether preparation, travel, breaks or orientation count under your program's own reporting method. The form cannot infer those rules from an activity description. Keep the method consistent within a report and have a coordinator resolve questions before approving totals.

Convert minutes to fractions of an hour: 45 minutes is 0.75 hours and two hours fifteen minutes is 2.25. Numeric bounds catch impossible single-day values, but they do not confirm that the time was actually contributed. Overlapping entries on the same date still need review.

Review corrections before adding hours

A correction is another response, not an automatic edit of the original. Locate the earlier entry using its date, activity and available reference. Mark it superseded in your review record, then use the corrected value once. Simply summing every response would count both versions.

Separate submitted hours from reviewed hours and document which entries remain unresolved. Export the reviewed records for totals in your reporting system. This template does not approve time automatically, calculate organization-wide totals or certify service for another institution.

How to use the response

Find the original record, confirm the correction with the coordinator and mark the earlier value superseded. The accepted total for that activity is two hours, not the five hours produced by adding both submissions.

Before publishing your version

Test a decimal value, zero, a value above 24 and both entry types. Confirm the correction process and counting rules before collecting real records.

Questions people ask

Does this verify or certify volunteer hours?

No. It records submitted hours for a coordinator to review. Any verification or service certificate is a separate process.

Can I submit decimal hours?

Yes. The field allows decimals from 0.01 to 24 for a single date. Convert minutes to a fraction of an hour rather than typing an hours-and-minutes notation.

Will a correction overwrite the original entry?

No. It creates a new response with a correction reference. The reviewer must reconcile the records before totaling them.
