Volunteer Orientation Signup template
Collect orientation requests after a volunteer's next step has been discussed. This form asks for a session preference, participation mode and role context, plus questions to address before the session. Returning volunteers can describe previous orientation; first-time volunteers skip that follow-up.

When to use this template
- Preparing an orientation group for a nonprofit program
- Finding an alternative time for people who cannot attend the main session
- Checking whether a returning volunteer needs an updated introduction
Tips to get more from it
- Replace the example weekday and weekend choices with real dates, times and time zones.
- Offer only attendance modes the coordinator can actually provide.
- Keep a request for orientation separate from confirmed attendance or training completion.
Prepare session choices before sharing
Include the date, time zone, expected duration and joining process in the form instructions or session choices. If a session has limited capacity, assign someone to review requests and communicate availability. This template has no capacity counter or automatic seat reservation.
Retain an alternative-time option so someone with a scheduling conflict can continue. Questions about practical arrangements can help the coordinator prepare; invite a private conversation for personal support needs rather than asking for a detailed history in the response.
Turn a request into a clear next step
Review the program or role first, then match the person with the relevant session. A returning volunteer may need only an update, but the previous-orientation answer alone does not establish that their earlier preparation covers the current role.
Send confirmed joining details through your chosen process and track actual attendance separately. After the session, record any further preparation and the support contact before the person begins. The form does not issue attendance certificates or send calendar invitations by itself.
Example response and next steps
Illustrative example, not a real customer submission.
A returning volunteer wants to join a different community activity and cannot attend the usual session.
- Preferred orientation session
- Need another time
- Have you completed an orientation here before?
- Yes
- Previous orientation date or program
- Last year's community garden introduction.
How to use the response
Ask the coordinator whether the new activity needs different preparation. Arrange an available session and provide joining details rather than counting the request as attendance.
Before publishing your version
Replace every example session, test both previous-orientation answers and confirm who monitors requests for another time. Make the confirmation process visible to volunteers.
Questions people ask
Does selecting a session reserve a seat?
No. This template collects preferences. Review availability and confirm the place separately, or configure a suitable booking process.
Will volunteers receive a calendar invitation?
Not from this template alone. It contains ordinary questions, not a connected scheduler. Arrange and test any invitation workflow separately.
Can returning volunteers use it?
Yes. Their previous-orientation answer reveals an optional detail field that helps the coordinator decide what update is needed.
