Form automation · Updated September 2026

A response should have somewhere to go.

Form automation connects an answer to an action: a spreadsheet row, a team notification or a record in your CRM. The useful question is not how many tools you can connect. It is whether the right person gets the right information and knows what to do next.

Separate creation, collection and follow-up

AI form generation helps the owner produce a draft. Conditional logic changes which questions respondents see. An integration sends completed responses to another tool. Those are three different jobs, and enabling one does not configure the others.

In Zunoform, choose a layout, build the questions, configure destinations in Integrations and test the published flow. The AI composer does not connect accounts, enrich leads, send a nurture sequence or act as an autonomous sales agent.

Three workflows to start with

Website enquiry → spreadsheet → review

Ask what help the visitor needs, a useful contact detail and a short description. Connect Google Sheets so the team has a shared intake list. Add your own review status and owner columns in the sheet rather than asking the visitor to supply internal workflow data.

Client brief → team notification → kickoff preparation

Use a document-style form when the client needs context. Send the response to the team’s connected destination, then have an owner review it before scheduling or confirming scope. Slack, Notion and HubSpot connections are available on Pro and Business.

Order request → payment → fulfillment review

Add a payment field using your own Stripe or PayPal account on Pro or Business. If the amount depends on a choice, configure the option-price mapping. Before fulfilling an order, check the payment outcome as well as the form response; a lead or a page visit is not proof of payment.

Map the information your destination needs

Write a small contract for the workflow: what triggers it, which fields are sent, where they land and who handles the result. Use stable field labels that make sense outside the form. A column called “Question 4” is hard to use once the original form is no longer on screen.

Send only the fields needed by the receiving team. Put a response identifier alongside the answers when your destination supports it, so you can reconcile records and avoid acting twice on the same request. Decide how you will handle missing optional answers before testing.

Pick a connection that matches the task

RouteZunoform availabilityWhat you configure
Google Sheets or Zoho CRMFree, Pro and BusinessConnect the account and choose the destination.

Webhooks or a Zapier catch hookFree, Pro and BusinessSupply the endpoint; build filters and downstream steps in the receiving tool.

Use external tools for external decisions

For rules such as “send urgent requests to a different team,” use filtering and routing in the receiving automation tool unless the native integration explicitly exposes that option. Zunoform’s question branching is not a general-purpose workflow engine.

Likewise, a Zapier catch-hook connection is not a published Zunoform Zapier app with a catalog of native triggers and actions. A third-party automation service can have its own subscription and task limits. Account for that cost when choosing your setup.

Test both the result and the failure path

Close the form without overpromising

Use the ending page to confirm the action that actually happened. “We received your enquiry” is different from “Your appointment is confirmed” or “Your purchase is complete.” Match the message to your configured flow.

Zunoform’s sharing page provides a public link and embed options. Test the embed on the intended published website. After a submission, a custom ending button can point to a relevant next page, and auto-redirect can move the respondent onward when you intentionally enable it. Keep the next step understandable before redirecting.

Start with one destination and a clear owner. Add another automation only when it removes a specific piece of manual work without making the result harder to trace.

Questions people ask

Does Zunoform automatically follow up with every lead using AI?

No. AI generation creates form drafts. Connect the form to your chosen CRM or automation service and configure any follow-up there.

Can I automate form responses for free?

Free includes Google Sheets, Zoho CRM, Zapier catch hooks and webhooks, with 500 responses per month. External services can have their own paid plans. Free response email notifications require your own SMTP server.

Can an ending page prove that every integration succeeded?

No. The closing message is part of the respondent experience. Check the destination and available delivery status when verifying an automation.

Do payment processor fees apply?

Yes. Zunoform adds no platform transaction fee to form payments, but Stripe or PayPal fees still apply. Payment collection requires Pro or Business.
