Website Content Collection template
Use this form to collect the material needed to build one website page. It separates the copy document from its approval status and records image links, missing items and the person who can resolve them. A response is a page package for the delivery team to review, rather than a general website discovery brief.

What’s inside
The questions this template ships with — rename, reorder, or delete any of them in the builder.
When to use this template
- Gathering service-page content after the sitemap is agreed
- Tracking which pages still need approved copy or licensed images
- Preparing a content handoff between the client, writer and developer
Tips to get more from it
- Ask for one response per page so one missing image does not obscure the status of an entire website.
- Use a stable document version and check link access as the person doing the build.
- Keep Draft awaiting review distinct from Approved for build; a submitted link is not an approval.
Define a complete page package
Start with the page's intended visitor action. Then check that its copy, calls to action, destination links and supporting assets let a builder implement that action. A service page may need a service description, relevant proof and an enquiry destination; an about page may need approved biographies and portrait credits instead.
Use the missing-items answer to name a specific item, owner and next date. Replace Image coming soon with Product photo, supplied by the client photographer, review on 22 September. The form records that commitment; your team still maintains the delivery queue.
Review before marking content ready
Open the copy and asset links with the intended team permissions. Check whether comments remain unresolved and whether the approval status applies to the linked version. Put proposed changes back through the content owner before a developer builds from an old draft.
After review, record the agreed page status in your project tracker or exported response sheet. If the copy changes, request a new version reference and preserve which response it replaces. This template does not lock documents, copy assets into a CMS or publish a page automatically.
Example response and next steps
Illustrative example, not a real customer submission.
A studio is collecting the Services page for a commercial photographer. The copy is ready, but the image selection is not.
- Page name and planned URL
- Commercial photography — /services/commercial
- Copy approval status
- Approved for build
- What is missing, and who will supply it by when?
- Three portfolio images and credits; the photographer will send the selection before Friday's content review.
How to use the response
The copy can move into layout preparation, but the page package remains incomplete. Ask for the intended crop and permissions with the image selection. Keep the missing image task visible to the launch owner rather than assuming Approved for build applies to all assets.
Before publishing your version
Replace the instructions with your naming convention, submit a draft and an approved example, and test document access. Confirm where the team will track changes after the response arrives.
Questions people ask
How is this different from the website design questionnaire?
The questionnaire establishes goals and scope. This form collects the actual content for an agreed page, including its version, approval state and missing materials.
Can I upload files instead of using links?
You can add a file-upload question in the builder. This version uses document and asset links so teams can reference existing repositories; check permissions and file limits before changing the workflow.
Does the form approve or publish the content?
No. It records the stated status for human review. CMS entry, final approval and publication happen separately.
